Archery Event Ticketing

How Archeris handles tournament registration, online payments, and on-site check-in — so organizers spend less time chasing bank transfers and more time running the event.

Verified Guide

Registration is usually the first thing that goes wrong in a tournament. Not because organizers aren't prepared, but because the tools they use — Google Forms, WhatsApp groups, manual spreadsheets — weren't built for archery. They don't understand bow divisions, they can't enforce quota limits, and they definitely can't verify payments automatically.

Archeris is built specifically for this. The ticketing module handles registration, payments, and on-site check-in as one connected flow, so organizers aren't stuck bridging the gaps between different tools themselves.

1. Why Archery Registration Is More Complicated Than It Looks

On the surface, tournament registration seems simple — collect names and collect money. In practice, there are two layers of complexity that generic tools handle poorly.

The first is category quotas. An archery tournament runs multiple bow divisions, each tied to a specific number of available target butts. When too many athletes register for one division and not enough for another, the field layout breaks down. Organizers end up reshuffling assignments manually or turning people away on competition morning — neither is a good situation.

The second is delegation registration. Club coaches don't register athletes one at a time — they submit twenty athletes across five divisions with one payment. A standard form wasn't designed for that workflow, and making it work usually means a lot of back-and-forth messages to sort out who's registered for what.

2. How Registration Works on Archeris

When you create a tournament, you configure each competition category with its quota limit upfront. The registration portal enforces those limits automatically — once a category fills up, it closes. No manual monitoring, no late-night messages asking "is there still space?"

From the athlete's side, registration is fast because their profile is already saved. They select a category, confirm their details, and proceed to payment. The whole thing takes a few minutes.

For club delegations, coaches submit a bulk registration for their entire contingent in a single checkout. The system assigns each athlete to their respective category and generates one consolidated invoice for the group. Everything lands in the organizer dashboard, structured and searchable.

What you get in the dashboard after registration closes:

  • Complete participant roster with division, club, and payment status
  • Per-category headcount vs. quota remaining
  • Pending payments flagged for follow-up
  • One-click export to Excel or CSV for technical handbooks and logistics

3. Payments, Without the Manual Checking

This is where traditional registration setups lose the most time. An athlete pays, sends a screenshot to the WhatsApp group, someone on the committee checks the bank statement manually, then updates a spreadsheet. Multiply that by two hundred participants and you have a full-time job that lasts three weeks before competition day.

Archeris connects directly to payment gateways so verification happens automatically. Supported payment methods include:

  • QRIS — scan-to-pay from any mobile banking or e-wallet app
  • Virtual Account — BCA, Mandiri, BRI, BNI, and Permata
  • PayPal — for international participants paying in USD

The moment payment clears, the athlete's registration status updates in real time. No screenshots, no mutation checks, no spreadsheet updates on your end. For cash or offline bank transfers that happen outside the gateway, organizers can record them manually in the dashboard to keep everything in one place.

4. Check-in on Competition Day

Once payment is confirmed, each athlete automatically receives a digital competition pass — a QR code tied to their registration — in their Archeris account or mobile app.

On competition morning, venue staff open the check-in scanner on any phone or tablet and scan each athlete's QR as they arrive. The system marks them present, logs the check-in time, and shows their assigned target position and category on the same screen. No printed lists, no highlighters, no confusion about whether someone has checked in.

For events issuing competition bibs at the gate, staff have everything they need without looking anything up separately.

5. Ticketing Only, or With Scoring — Your Choice

Not every event needs digital scoring. Some clubs already have their own field scoring workflow and just need a better way to handle registration and payments. Archeris works for that too.

There are three modes you can run:

  • Ticketing only — registration, payments, check-in, and roster export. Scoring is completely separate from your setup.
  • Ticketing + manual result upload — run your own scoring on the field, then upload the final results to Archeris so athletes can view their scores and download certificates online.
  • Full integrated system — ticketing connected directly to live scoring, automatic rankings, and instant elimination bracket generation.

The mode is set in the tournament settings and can be different for every event you run. There's no lock-in.
