Verified Guide

On tournament day, organizers often recruit student volunteers or club members to act as shooting line scorekeepers. Requiring every staff member to create email accounts and verify passwords creates unnecessary delays on the field. Archeris solves this with a simple 5-character access code system — generated in seconds from the organizer dashboard and shared directly with your field staff.

1. Why Short Access Codes?

The 5-character alphanumeric code (for example SK123 or KP9VM) gives scorekeepers instant access to the mobile scoring app without needing a personal account, email verification, or password management. This is especially practical for community events where you may be onboarding 10–20 volunteers on the morning of competition day. The code expires or can be deactivated the moment you toggle the scorekeeper's status to Inactive — giving you full control over who has live access to input official scores.

2. Scorekeeper Roster & Code Overview

To view and manage your organization's scorekeepers:

  1. Navigate to Organizer Dashboard > Scorekeepers in the side navigation.
  2. The main table lists all active and inactive scorekeeper accounts linked to your organizer profile.
  3. You can search staff by name or code using the quick search bar, or filter by active status.

The roster page is your central control panel for all field scoring staff. Keep it open during competition so you can quickly deactivate codes for staff who have finished their session.

3. Generating a New Scorekeeper Account

To add a new line judge or scorekeeper:

  1. Click the + Add Staff button at the top right of the scorekeeper dashboard.
  2. Enter the staff member's full name (e.g., Budi Santoso or Line Judge Target 1–4).
  3. Click Generate Account. The system automatically creates a unique 5-character alphanumeric access code.
  4. Share this code with your field staff via printed badge, WhatsApp message, or lanyard card.

You can create as many scorekeeper accounts as you need — there is no limit per tournament. For large tournaments, consider naming accounts by target range (e.g., Targets 1–10, Targets 11–20) to make distribution easier.

4. How Scorekeepers Log In on the Field

When line scorekeepers open the Archeris mobile app on their smartphone:

  1. On the login screen, tap Scorekeeper Mode or go to the scorekeeper login page.
  2. Enter the assigned 5-character code using the letter and number input boxes.
  3. Tap Activate Scoring Mode. They immediately see the active qualification session and assigned target faces ready for arrow input.

The entire login process takes under 30 seconds — fast enough for a volunteer who has never used the app before to be ready before the first end begins.

5. Managing Permissions & Code Status

You have full real-time control over every scorekeeper code from the dashboard:

  • Active / Inactive Toggle: If a volunteer finishes their shift or leaves the field, toggle their status to Inactive to immediately revoke scoring access without deleting the account.
  • Regenerate Code: Click the Regenerate button next to a scorekeeper to issue a new code — useful if a code is accidentally shared with the wrong person.
  • Edit Name: Click the pencil icon to rename accounts or update the assigned label for the next tournament day.
  • Delete Account: Remove temporary volunteer credentials once the championship concludes to keep your roster clean.

As a best practice, deactivate all scorekeeper codes as soon as the final session is locked. This ensures no one can accidentally submit stray scores after official results are finalized.
