Participant Re-registration
How on-site re-registration works in Archeris: archers present their QR pass at the venue, organizers scan or manually mark attendance, with support for batch check-in by club.
In Archeris, re-registration (registrasi ulang) is the official on-site attendance confirmation that takes place on competition day. When an archer arrives at the venue, they present their digital QR check-in pass, and the organizer scans it to confirm their physical presence. This step is separate from initial online registration and payment.
1. What Is Re-registration?
Re-registration answers one simple question: "Has this registered, paid archer actually arrived at the venue?" The system records the exact check-in timestamp, which helps tournament operations in several ways:
- Attendance Verification: Confirms which paid participants are physically present before the qualification round begins.
- Scoring Readiness: Target line assignments and scorekeeper sessions are finalized based on confirmed arrivals, preventing empty target slots.
- Reports & Analytics: Organizers can monitor check-in rates in real time and see which clubs have arrived.
Re-registration does not involve submitting new registration data or additional fees. It is strictly an on-site attendance gate.
2. The Archer's QR Check-in Pass
Every archer whose payment status is paid (Lunas) automatically receives a QR check-in pass in their dashboard under My Dashboard > Tournaments > [Tournament Name] > My Registration.
The QR pass section includes:
- A scannable QR code tied to the athlete's registration record.
- The athlete code (such as
ARC-A1B2C3) displayed below the QR for manual reference. - A Ready to Compete status badge confirming the pass is active.
If payment is still pending, the QR pass remains locked until payment is verified.
3. Organizer: Scanning QR Codes
The primary check-in method is QR scanning, available through both the Archeris organizer mobile app and the web dashboard.
Via Mobile App (Recommended on the Field)
- Open the Archeris organizer app and go to the Check-in tab.
- Point the camera at the archer's QR pass displayed on their phone.
- A confirmation card appears with the archer's name, club, and category.
- The system immediately records the check-in and updates the archer's status to Checked In.
Via Web Dashboard
- Go to Organizer Dashboard > Tournaments > [Tournament] > Participants.
- Find the archer in the participants table.
- Click the button in the Re-registration column to mark the athlete as checked in.
- Clicking the button again toggles the status back if needed.
4. Organizer: Manual & Batch Check-in
When scanning QR codes individually is not practical, Archeris provides quick batch check-in options:
- Manual Individual Check-in: Click the toggle button in the participants table to mark any paid participant as present without scanning.
- Batch Check-in by Club: Click Check-in Kolektif in the page header, select a club or contingent from the dropdown, and confirm. All paid athletes from that contingent are marked present in one click.
5. Tracking Attendance Status
The participants table provides a dedicated Re-registration column showing each athlete's check-in status at a glance. You can also filter the list:
- Already Checked In: Displays all participants who have completed re-registration.
- Not Yet Checked In: Displays participants who have paid but have not yet arrived at the venue.
The Reports > Attendance section provides an aggregated arrival timeline and club-by-club attendance rates for the tournament committee.
